Web Developer Scope Creep Email Templates

Web development projects are particularly vulnerable to scope creep — clients discover new features they want, ask for design changes after development begins, or request integrations that weren't in the original spec. These templates help you communicate clearly and get paid for extra work.

Client requests a feature not in the original specification

Halfway through a build, the client asks to add a user dashboard with analytics, filtering, and export functionality that was never mentioned in the project brief.

Subject: Dashboard Feature — Outside Original Scope

Hi [Client name],

The dashboard functionality sounds like a great addition to the product. I want to be transparent that it falls outside the scope we agreed on in our contract, which covers [original scope summary].

Building out the dashboard — with analytics, filtering, and export — would require [estimated hours] of additional development work. Based on our agreed rate of [rate], that comes to approximately [estimate].

I can put together a formal change order with a breakdown if you'd like to move forward. Alternatively, we can note it as a phase two item after the current build ships.

What would you prefer?

Best,

Client requests design changes after frontend development begins

Three weeks into development, the client decides they want a completely different visual direction, which would require rebuilding components already completed.

Subject: Design Direction Change — Impact on Timeline and Scope

Hi [Client name],

I appreciate you sharing the new direction — I want to make sure we build something you're excited about.

I should be transparent about the impact: we've already built [list of completed components] based on the approved designs. Pivoting to the new direction would require rebuilding those components, which represents [estimated hours] of rework.

Our contract covers one round of design revisions prior to development. Changes requested after development begins are treated as scope additions per section [X] of our agreement.

I can proceed with the new direction with a change order covering the additional work, or we can continue with the approved designs and revisit the visual direction in a future phase.

Which would you like to do?

Best,
